Privacy Policy

Last updated November 5, 2026

This policy explains what information ErneQ collects, how it is used, and the choices you have.

1. Who this policy covers

ErneQ is a pickleball event management platform used by clubs, organizers and coaches to run tournaments and open play, and by players to find events, register and keep a record of their games. This policy explains what information we collect, why we collect it, and the choices you have.

Two kinds of people use ErneQ: organizers, who have an account and manage clubs and events, and players, who register for events and use the player portal.

2. Information we collect

  • Account information for organizers: your name, email address and sign-in details. Passwords are handled by our authentication provider and are never visible to us.
  • Club and event information: club name, venue names and addresses, court counts, event schedules and settings.
  • Player information entered by organizers or by players themselves: first, middle and last name, gender, skill level, rank and DUPR ID, email address, phone number, and an optional profile photo.
  • Registration and play information: which events a player registered for, check-in times, pairing preferences, match results, scores, standings, and injury, withdrawal or stoppage records.
  • Organizer chat messages sent inside an event, and audit log entries recording changes made to event data.
  • Billing information: your plan, subscription status and billing history. Card details are collected and stored by our payment processor, not by ErneQ.
  • Technical information needed to run the service, such as sign-in sessions and basic request logs.

3. How we use information

  • To run events: court assignment, pairings, brackets, scoring, standings and check-in.
  • To build player records and game history across the clubs a player has played at.
  • To send event and account emails, such as check-in links, registration confirmations and billing notices.
  • To process subscription payments and manage plan limits.
  • To keep the service secure, investigate misuse, and fix problems.

4. Photos, posters and links

Profile photos and event posters you upload are stored on our file hosting and given a link. Anyone who has that link can open the file, so only upload images you are comfortable sharing that way.

Club and player pages that organizers choose to make public, such as a public event page or a shareable registration link, can be opened by anyone with the link.

5. Payments

Subscriptions are billed through our payment processor. We share the information needed to charge the subscription and to show your billing history, such as your email address and plan. We never receive or store your full card number.

6. Facebook and other connected services

Players can optionally connect a Facebook Page in the player portal so that results, records and rankings can be posted to that Page. When you connect it, Facebook gives ErneQ access to the Pages you manage, and you choose which Page to use.

ErneQ only publishes a post when you ask it to, or when you switch on automatic posting for a Page. You can disconnect the Page at any time in My details, which stops any further posting. Content you publish through Facebook is also governed by Facebook's own terms and privacy policy.

7. When we share information

We do not sell personal information. We share it only with the service providers that make ErneQ work, including our hosting and database provider, our authentication provider, our email provider, and our payment processor, and only as needed to provide the service.

Within ErneQ, an organizer sees the player details for the clubs and events they manage, and players see their own details and their own game history. We may also disclose information if we are legally required to do so.

8. How long we keep information

Player records are kept so a player's history and identity follow them between clubs. Event history is kept while a club's subscription is active and for the period included in its plan after the subscription ends, after which event data is removed. Subscription and billing records are kept as long as required for accounting and legal purposes.

You can ask us to delete a player record or an account, and we will remove it unless we are required to keep it.

9. Your choices and rights

  • Review and update your own details: players can edit their phone, skill level, rank and DUPR ID, and their photo, in the player portal. Organizers can update their club details in the app.
  • Ask for a copy of your information, or ask us to correct or delete it, by emailing support@erneq.app.
  • Disconnect a connected Facebook Page, or turn off automatic posting, at any time in the player portal.
  • Ask an organizer to remove you from a club's roster if you no longer play there.

10. Security

We use industry-standard safeguards to protect information, including encrypted connections and access controls that keep each club's data separate. No system is perfectly secure, so please use a strong password and keep it to yourself.

11. Children

ErneQ is not intended for children under 13. If you believe a child under 13 has given us personal information, contact us and we will remove it. Players under 18 should use ErneQ with the consent of a parent or guardian.

12. Changes to this policy

We may update this policy as the service changes. The date at the top of this page shows when it was last revised, and significant changes will be announced in the app or by email.
